Early Bird, Midterm, and Onsite Prices

To ensure the best experience and pricing, we offer multiple registration options, according to the time frame of the conference. Prices will be increased proportional to the conference date as slots get occupied. So, please review the registration time lines below:

Early Bird Registration Deadline: 20-April-25

Unlock the best rates by registering early! Our Early Bird registration offers the lowest prices and the greatest value for attendees. This is the perfect option if you’re sure about attending and want to save on conference fees.

Midterm Registration Deadline: 20-June-2025

Missed the Early Bird? No worries! Our Midterm registration is still an affordable option, giving you time to finalize your plans while locking in your place at the conference. Registration fees will increase after this period, so act quickly!

Onsite Registration Deadline: 06-November-2025

It’s not too late! Onsite registration is available if you need to register last minute or missed the earlier deadlines. Keep in mind, pricing will be higher and some sessions may already be full, so we recommend registering in advance for the best experience.'

Onsite registration is the most expensive option, so we encourage you to register as soon as possible to avoid the rush and save on costs!

Cancellation Refund Policy



Cancellation and Name Change Policy

We understand that plans can change, and we strive to provide a fair cancellation policy. Please review the following guidelines for cancellations and refunds

Full Refund: Cancellation before 90 days of the conference start date will receive a full refund, less a $100 towards administrative fee.

Partial Refund: Cancellation between 89 and 45 days prior to the conference start date will receive 60 % refund.

Cancellations received below 45 days prior to the conference start date will receive 50 % refund.

Notification: All cancellation requests must be submitted in writing to the conference registration team at oncosummit@usfconferences.com

Refund Processing: Refunds will be made within 20 days of receipt of cancellation notification.

Note: In refund transaction payment gateway transaction fees should be borne by the payee.

Name Change Policy

Substitution: If you are unable to attend, you may transfer your registration to a colleague or another individual at no additional cost.

Notification: All name change requests must be submitted in writing to the conference registration team at oncosummit@usfconferences.com including the original attendee’s details and the new attendee’s information.

Deadline: Name changes must be requested no later than 10 days before the conference start date.

Confirmation: Once the name change request is processed, a confirmation email will be sent to the new attendee with all necessary details.

Our cancellation and name change policies are designed to ensure a smooth and fair process for all participants. If you have any questions or need further assistance, please do not hesitate to contact our registration team.

Liability and Responsibility Policy

The organizer is not responsible for any loss or damage resulting from substitution, alteration, postponement, or cancellation of an event due to causes beyond its control, including but not limited to, force majeure, natural disasters, sabotage, accidents, trade or industrial disputes, terrorism, or hostilities.

Event Cancellation or Postponement: The organizer reserves the right to cancel or postpone the conference in the event of natural disasters, calamities, or terrorism activities, conflict interest with other conference. In such cases, the organizer will not accept refund requests related to cancelled flights, natural disasters, calamities, or terrorism activities. However, registered delegates and attendees will be given the opportunity to transfer their registration fees and accommodation charges to any future or related conferences.

Liability for Personal Injuries and Property Damage: The organizer will not accept any liability for personal injuries or loss or damage to property belonging to delegates, either during or as a result of the conference.

How to Cancel
  • To cancel your registration and request a refund, please follow these steps
    • Submit a Cancellation Request
      Send an email to oncosummit@usfconferences.com with your full name, registration details, and reason for cancellation.
    • Confirmation
      You will receive an acknowledgment email confirming receipt of your cancellation request. Please allow three business days for processing.
    • Refund Processing
      Approved refunds will be processed back to the original payment method within 20 days of receiving your cancellation request. Please note that it may take additional time for the refund to reflect on your account.
Special Circumstances
    • Medical Emergencies: If you need to cancel due to a medical emergency or other unforeseen circumstances, please contact us directly at oncosummit@usfconferences.com com as soon as possible. We will review your case and may offer a maximum refund or transfer to a future event on a case-by-case basis.
    • Travel Restrictions: In the event of travel restrictions or force majeure situations affecting the conference, we will provide updates and work with registrants to offer options such as refunds, transfers, or virtual participation.
Additional Information
    • Changes to the Policy: We reserve the right to modify the cancellation policy if necessary. Any changes will be communicated to registrants via email.
